Telecalling CRM: What It Is and What to Look For

A telecalling CRM puts the lead list, the dialler, the call recording and the follow-up schedule in one app, so every call is logged against a lead and nothing depends on a telecaller's memory. Here is what it does, which features matter for Indian teams, and the questions to ask before you buy.

What a telecalling CRM does

Most Indian sales teams in education, real estate, insurance, loans and B2B services still sell by phone. A telecalling CRM is a CRM designed for that day: a telecaller opens the app, sees who to call next, taps to dial, and after the call records the outcome and the next follow-up. Managers see calls, connects and conversions per telecaller without asking for a spreadsheet.

Features that matter

  • Calling that works in India. Either SIM-based calling from a mobile app or cloud telephony (virtual numbers, IVR, click-to-call) through providers such as Exotel, Knowlarity, Ozonetel or MyOperator.
  • Automatic call logging and recording. Every call, its duration and recording saved to the lead without typing.
  • Call outcomes and next steps. A required outcome after each call (interested, call back, not reachable, not interested) and a scheduled follow-up.
  • A prioritised call list. New leads first, then due follow-ups, so telecallers do not cherry-pick.
  • Missed-call and inbound handling. Inbound calls matched to the lead and routed to its owner.
  • WhatsApp from the same screen. Send a brochure or a reminder after a call without switching phones.
  • Reports by telecaller. Calls made, talk time, connect rate, follow-ups overdue and conversions.
  • Consent and DND controls. Opt-outs honoured and do-not-call lists respected before a number is dialled.

SIM calling or cloud telephony?

SIM calling is cheap and quick to start: telecallers use their existing phones and plans, and the app logs calls. The downsides are personal numbers shown to customers, recordings that depend on the phone, and numbers that leave with the employee.

Cloud telephony gives the business its own numbers, central recording and IVR, and works from a laptop or phone. It costs per minute and takes a little setup, but it scales and survives staff turnover. Most teams above ten telecallers move to cloud telephony.

Where AI fits in telecalling

AI now does two jobs in telecalling. Call analysis transcribes and scores calls telecallers made, which helps with coaching. AI voice agents place calls themselves: they call new leads within minutes, ask qualifying questions and hand interested leads to a telecaller, so people spend their time on conversations that can close. In our review of 30 CRMs used in India, 11 of 29 vendors documented calling that works in India, but only 3 documented an AI voice agent that places outbound calls. Our guide to CRMs with AI calling lists them.

Questions to ask before you buy

  1. Which telephony providers do you support in India, and can we bring our own?
  2. Does the mobile app log and record SIM calls automatically, on both Android and iPhone?
  3. What is the total monthly cost per telecaller, including calling minutes, WhatsApp and recording storage?
  4. Can a manager see overdue follow-ups and reassign them in one step?
  5. How do you handle opt-outs and do-not-call lists?
  6. Can an AI agent make first calls or reminder calls, and in which languages?

VoomSales for telecalling teams

VoomSales connects to Exotel, Airtel IQ, Plivo or Aavtaar, or your own provider, records every call against the lead, and tracks time to first touch and time since last action on every lead with reminders before they slip. Frequently asked questions

What is a telecalling CRM?

A telecalling CRM is a CRM built around phone calls: it gives telecallers a list of leads to call, dials from inside the app, records the call, asks for the outcome and schedules the next follow-up, so every call is logged against the lead.

Can telecallers use their own SIM with a CRM?

Yes. Many Indian CRMs have a mobile app that places calls through the telecaller's SIM and logs them automatically. Cloud telephony with virtual numbers is the alternative; it hides personal numbers and keeps the business number when staff leave.

Is a dialler the same as a telecalling CRM?

No. A dialler only places calls. A telecalling CRM also holds the lead record, the call history, the follow-up schedule, WhatsApp messages and the reports managers use, so nothing depends on a telecaller's notebook.
