Best CRM for Coaching Institutes in India: 2026 Guide

A coaching institute wins admissions on the phone: the institute that calls first, follows up and answers on WhatsApp usually gets the student. Choose a CRM on those jobs, not on the length of its feature list. Here is what to check, and how six CRMs that coaching institutes shortlist compare.

Most coaching institutes do not use a CRM yet. In our 2026 study of Indian institutes, 88% of coaching institute homepages loaded no lead-management tool at all, even though 45% run Meta or Google ad tags. If you are choosing your first CRM, this guide is for you.

What a coaching institute needs from a CRM

  • Every enquiry in one place. Website forms, Facebook and Google lead forms, JustDial and portal leads, missed calls and walk-ins, captured automatically with the source.
  • Calling that works in India. Click-to-call through an Indian telephony provider or your counsellors' SIMs, with every call recorded on the enquiry.
  • Follow-up reminders and alerts. A clock on every new enquiry and a reminder when a follow-up is due, so nothing waits overnight.
  • WhatsApp inside the CRM. Brochures, fee details and reminders sent from a shared business number, visible to the whole team.
  • Hindi and regional languages. For calling scripts, AI calls and transcripts, if your students speak them.
  • Centre and counsellor reports. Enquiries, calls and admissions by centre, course and counsellor.
  • A price you can predict. Per-user pricing in rupees, with calling and WhatsApp costs stated up front.

Values come from each vendor's own pages, as recorded in our Sales CRM Landscape 2026 (checked 2026-10-22). “Partial” means an add-on, a partner app, a separate licence or a limited version.

Meritto

An education CRM, formerly NoPaperForms, and the most common admissions tool on university websites in our study. It covers enquiry capture, counsellor allocation, application forms, WhatsApp campaigns and a live-chat inbox, and its Mio AI Voice agent places outbound calls in English and several Indian languages. Pricing is on request. A good fit for large multi-centre brands that also run online applications and fee collection.

ExtraaEdge

An education CRM used by admission teams, with a built-in IVR (virtual and toll-free numbers, click-to-call), a WhatsApp shared inbox. It advertises AI-powered calling on its homepage, though we found no product documentation for it yet. Pricing is on request. Worth shortlisting if you want an education-specific product with telephony included.

LeadSquared

A sales CRM with strong automation and connectors for Indian telephony providers such as Exotel, Ozonetel and MyOperator, and a chat inbox that needs a WhatsApp provider. Its Invorto voice bot dials contacts but is licensed separately through an account manager. Entry pricing is published in dollars. Suits larger institutes with an operations team to configure it.

Zoho CRM

A general CRM with low entry pricing, a free plan, Indian telephony integrations through PhoneBridge, native WhatsApp messaging and SLA escalation rules. We found no native AI agent that calls leads; Zoho Voice, a separate product, can route inbound calls to third-party voice AI. A sensible choice for institutes already using Zoho tools that are willing to set up their own follow-up process.

TeleCRM

A calling-first CRM with a SIM-based one-click dialler in its mobile app and low per-user pricing. The official WhatsApp API costs extra, and we found no AI voice agent. A fit for small teams that call from their phones and want something simple.

VoomSales

Our own CRM, so read this as a vendor description. VoomSales captures enquiries from ads and forms, routes them, tracks time to first touch on every lead, and includes a two-way WhatsApp inbox and calling through Indian providers such as Exotel and Airtel IQ. On the Growth plan, an AI voice agent calls every new enquiry within minutes in Hindi, English and eight other Indian languages and hands interested students to a counsellor. Plans start at ₹2,400 per user per month, with AI minutes billed separately. See pricing or how the AI calling works.

How to choose

  1. Count your monthly enquiries and counsellors. That decides whether calling capacity or setup effort is the real constraint.
  2. List your enquiry sources and check each CRM connects to all of them without manual uploads.
  3. Ask for a trial with your own numbers and your own telephony provider, not a demo account.
  4. Time it: submit a test enquiry and see how long it takes for someone, or something, to call you.
  5. Get the full monthly cost in writing, including calling minutes, WhatsApp messages and any AI add-on.

Whichever CRM you choose, the process matters as much as the software. Our 7-step follow-up playbook works with any of them.

Frequently asked questions

What is the best CRM for a coaching institute in India?

There is no single best CRM; it depends on size and how you follow up. Large multi-centre brands that also run online applications often choose an education CRM such as Meritto or ExtraaEdge. Institutes whose admissions are won on the phone should prioritise calling in India, follow-up reminders and WhatsApp, and compare CRMs such as LeadSquared, Zoho CRM, TeleCRM and VoomSales on those.

Do coaching institutes need an education-specific CRM?

Not always. Education CRMs add application forms, fee payment and document collection, which universities need. Many coaching institutes mainly need to capture enquiries, call them fast and follow up, which a sales CRM with good calling does as well.

How much does a CRM for a coaching institute cost?

Published entry prices among the CRMs in this guide start at around ₹800 per user per month, and several education CRMs only quote on request. Calling minutes, WhatsApp messages and AI voice calls are usually billed separately.
